Kids2Dentist is looking for an experienced, organized, people-first Office Manager to lead the daily operations of one of our pediatric dental offices. This is the role that holds everything together: the schedule, the team, the front desk, the numbers, and the patient experience. We need someone who can stay three steps ahead, solve problems before they become problems, and lead a busy team with both warmth and accountability.

A day in the role

You run the office from open to close. You lead the front and back office teams, keep the schedule full and flowing, and step in wherever the day needs you. You review and correct staff time punches so payroll is accurate and on time, stay on top of meal and rest break compliance, and make sure every team member is supported and accountable. You coordinate onboarding, benefits enrollment, and HR paperwork with our corporate team. You watch the numbers, keep patients and parents happy, and when something breaks, you're the one who fixes it.

What you'll do

  • Lead and supervise the daily operations of the office: front desk, clinical support, and patient flow.
  • Manage, coach, and schedule staff; build a positive, accountable team culture.
  • Review and correct time punches and ensure meal and rest break compliance ahead of payroll deadlines.
  • Own the daily schedule: manage cancellations and reschedules, and maximize provider time.
  • Oversee the patient experience from check-in to check-out, and resolve concerns with care.
  • Coordinate onboarding, credential and license tracking, and HR compliance with the corporate team.
  • Oversee insurance verification, billing flow, collections, and end-of-day reconciliation.
  • Manage supplies, vendors, and the physical office.
  • Uphold HIPAA, OSHA, and California employment and dental practice compliance.

Qualifications

  • Prior dental office management or dental front office experience; pediatric experience is a strong plus.
  • Proven leadership: hiring, coaching, scheduling, and holding a team accountable.
  • Strong command of dental scheduling and practice management software, insurance, and billing.
  • Comfort with timekeeping and payroll review, HR paperwork, and compliance processes.
  • Excellent communication, organization, and problem-solving under pressure.
  • Warmth and genuine patience with children and families.
  • Medicaid / Denti-Cal experience is a plus, but not required.

Full-time. Monday to Friday, 9:00 a.m. to 6:00 p.m. Saturdays 8:00 a.m. to 3:00 p.m., generally one to two Saturdays per month.
